Chair Pullara called the meeting to order at 5:00 p.m. ROLL CALL PRESENT: Valerie Pullara, Chair Ed Hannon, Member Marilyn Lane, Member Lois Nagy, Member Dean Strandskov, Member ABSENT: Ellen Guyer, Vice Chair ALSO PRESENT: Ainsley Legner, Parks Recreation Library & Cultural Resources Director Brendan Burns, Town Council Member Lynanne Dellerman, Recreation Manager Catherine Vorrasi, Aquatics Manager CALL TO THE AUDIENCE - No speakers. 1. REVIEW AND/OR APPROVAL OF THE OCTOBER 1, 2012 REGULAR SESSION MINUTES MOTION: A motion was made by Member Hannon and seconded by Member Strandskov to approve the October 1, 2012 minutes as presented. MOTION carried, 5-0 2. MARKETING HISTORIC PRESERVATION ACTIVITIES AND 11/05/12 Minutes, Historic Preservation Commission 1 EVENTS - DISCUSSION AND POSSIBLE ACTION Parks Recreation Library & Cultural Resources Director stated that Commissioner Susannah Myerson had brought up this item. Ms. Legner announced that Ms. Myerson has resigned from the commission. Chair Pullara discussed efforts to increase visibility on the website and marketing with the annual report. The work plan addresses marketing efforts. Ms. Legner assured the group that the Communications Division in the Town Manager's office submits for public service announcements and other media efforts. She added that Commissioner Strandskov has also provided information on the Tipster publication. Recreation Manager Lynanne Dellerman indicated that the Town is redesigning the website to make it more searchable. Chair Pullara stressed that there should be a "landing page" on the website for historic preservation. 3. DOCENT PROGRAM - DISCUSSION AND POSSIBLE ACTION Ms. Dellerman reported that tours of Steam Pump Ranch are in progress. The tours are the first three Saturdays in both November and December. Chair Nagy and Dan Zwiener are leading some tours. Guest speakers and other events will be incorporated. Ms. Dellerman is working with the Town's communications administrator for marketing and to issue a press release. Chair Pullara suggested adding information in the Tipster, Home Owner Associations, the Oro Valley Marketplace and anywhere people congregate. Commissioner Nagy will create a history of Steam Pump Ranch by mid-January for docents to use during tours. Chair Pullara suggested that the commission prepare processes and procedures for docents. Ms. Dellerman added that in January, Dan Zwiener and Commissioner Nagy will do a recording of the tours for a podcast and a video. Commissioner Nagy, Commissioner Lane and Commissioner Strandskov will work on the policies and procedures. 4. STEAM PUMP RANCH - DISCUSSION AND POSSIBLE ACTION A. NATIONAL SOCIETY DAUGHTERS OF COLONIAL WARS INC DONATION PRESENTATION 11/05/12 Minutes, Historic Preservation Commission 2 Ms. Dellerman commented that the presentation will be similar to a tour speech and will include a timeline of the ranch. B. INVENTORY OF BUNK HOUSES This item will be tabled until the next meeting. C. REVIEW OF FALL FESTIVAL Chair Pullara commended everyone who worked on the Fall Festival event. Positive comments regarding the Fall Festival include: - The grounds were immaculate. - The food was good and the performers were top notch. - Coordination with the Oro Valley Historical Society was successful. - The activities were spread out nicely. - There were more activities in the Ranch House. - The fire pit at the garden demonstrated how Native Americans roasted corn. Challenges and improvements for next time include: - Increase in advertising. - Map links in the advertising. - Shorten the time span of the event. All activities need to run the entire duration of the event to benefit families. - Split out the event experience and the fundraising piece. - There was not enough information regarding the Procter Leiber House. - PowerPoint presentations should be shown illustrating how the area has progressed. - Obtain an Explorer advertisement. - Describe the process for the Steam Pump building and restoration. 5. HPC WORK PLAN UPDATE ON ITEMS ASSIGNED - DISCUSSION AND POSSIBLE ACTION Chair Pullara is writing the Historic Preservation Plan. Commissioner Guyer is working on the annual report. Commissioner Nagy shared that she will rotate off the commission in December but she would like to be involved with Items 10 and 11 on Artifact Preservation as an Oro Valley Historical Society member. 11/05/12 Minutes, Historic Preservation Commission 3 6. SCHEDULING NEXT HISTORIC PRESERVATION COMMISSION MEETING TENTATIVELY FOR MONDAY, DECEMBER 3, 2012 TO BEGIN AT 5:00 P.M. - DISCUSSION AND POSSIBLE ACTION The next meeting is scheduled for December 3, 2012. Commissioner Hannon announced that he will not be present. 7. FUTURE AGENDA ITEMS - Site Stewards at Honey Bee Preserve. - Pusch House displays. ANNOUNCEMENTS - Commissioner Nagy announced that there is a new book about Pima County which serves as a good reference. - Ms. Legner reported that the Town has been working with ADOT on permitting the entry gates into Steam Pump Ranch. For now, the northern gate on Oracle is fine for entry to Steam Pump Ranch but exiting must be done through Steam Pump Village. - Ms. Legner introduced Aquatics Manager Catherine Vorrasi. - Ms. Legner encouraged the group to spread the word about the vacancies on the commission.
